Admin Assistant to the COO

ProSlide is looking for an enthusiastic and confident Admin Assistant to directly support our Chief Operating Officer by providing a full-range of high quality administrative and project assistance.

You are proactive and enjoy working in a dynamic and innovative environment. Your organizational skills are impeccable and you have a high sense of urgency, with the ability to prioritize and switch focus on the fly. Ideally you’ve worked in a product or capital projects based environment.

YOUR CHALLENGE:

  • Organize internal and external meetings including notifying attendees, handling logistics, drafting and distributing agendas, creating presentation decks and taking minutes as needed
  • Proficient in developing professional presentations using PowerPoint or other software
  • Develop and organize a “corporate priorities” register for each function reporting to COO to allow for clear visibility on deliverables and progress. Collect documents for review, monitor and follow projects and action items for the efficient flow of information.
  • Plans and organizes travel arrangements and administer expense reports
  • Support the Corporate Strategic Planning and Annual Operating Plan by managing the schedule and meetings, gathering and collating material required for meetings, taking and distributing meeting minutes and action items.
  • Organizes and structures electronic folders and files for effective information management and archiving
  • Special reporting and analytics (sales, project, market) and projects as required

WHAT YOU BRING TO THE ROLE:

  • Minimum 5 years’ of related experience
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Demonstrated proactive approaches to problem-solving
  • Flexible and adaptable to change
  • Proven ability to handle confidential information with discretion
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Proficient in Microsoft Office Suite (Word, Excel, Powerpoint) and experience with a CRM System (Salesforce preferred)
